What it is
Zapier connects more than 9,000 web apps so that an event in one (a new form entry, a paid invoice) triggers actions in others. These automations are called Zaps. You build them in a step-by-step editor without code, and you are billed by tasks, where one task is one action step that runs; triggers, filters, formatters and Tables do not count.
On top of Zaps, Zapier sells AI features on every plan: Agents that work through a goal using your connected apps, Copilot (in beta) that builds Zaps from a plain-English request, Canvas for mapping out processes, Chatbots, and an MCP server that lets assistants such as Claude or ChatGPT call Zapier actions. MCP calls cost two tasks each; Agents are billed separately in "activities".
The free plan gives 100 tasks a month, two-step Zaps and 15-minute checks for new data. Paid plans scale by task volume, annual billing is about a third cheaper than monthly, and allowances reset monthly even on annual plans.
Our review
Zapier's lead is its catalogue and its editor, and neither has slipped. It lists more than 9,000 apps, and a non-technical person can build a working Zap in minutes. For a single ops person gluing a CRM, a form tool and Slack together, nothing is faster to set up.
Billing is where readers need to pay attention. Professional starts at $19.99 a month on yearly billing for just 750 tasks, 10,000 tasks costs $129, and 100,000 costs $489. Pay-per-task overage is charged at 1.25 times the base rate on annual plans and 2.5 times on monthly ones, and usage stops entirely at three times your allowance. n8n's self-hosted Community Edition runs the same kind of workflow for the cost of a server, which is why high-volume teams leave.
The AI layer is broad but metered in two currencies. MCP access is on every plan and lets Claude or ChatGPT act in your apps, but each tool call costs two tasks from the shared pool. Agents run on a separate meter of 400 activities a month on Free and 1,500 on the Pro add-on, with any single run capped at 40 activities on paid plans. An assistant that calls Zapier 5,000 times a month consumes 10,000 tasks, the whole of a $129 plan.
Governance is split sharply by tier. SAML SSO arrives on Team, but SCIM, custom data retention, app and action controls and a year of audit logs are Enterprise-only. Zapier says it never trains on the data flowing through workflows; on non-Enterprise plans it may learn from how Zaps are built unless you submit an opt-out form. Data sits in AWS US-East with no regional residency by default, which rules it out for some EU buyers before price comes up.
Where it earns its place
The office manager at a 12-person dental practice
Send new web-form bookings to the calendar, CRM and a Slack channel
One multi-step Zap uses about three tasks per booking; 500 bookings a month fits the 1,500-task Pro tier at $39 a month on yearly billing. No developer needed, though the free plan's two-step limit rules it out.
A RevOps lead at a 60-person SaaS company
Route leads, enrich them and alert reps across HubSpot, Clearbit and Slack
Team at 50,000 tasks costs $399 a month annually and covers 25 users with SAML SSO. Branching steps (Paths) do not use tasks, but each enrichment and alert does, so volume growth shows up directly on the bill.

Connect Zapier MCP and expose selected actions; each call costs two tasks and runs under Zapier's SOC 2 Type II scope. The Zapier SDK, still in beta, is outside that SOC 2 coverage.
