Motion

AI calendar and project manager that schedules your tasks into your day automatically and replans when things change.

Motion will plan your day better than you do, provided you hand it your whole task and project system and accept a US-only data home.

What it is

Motion combines a calendar, task list and project manager. You add tasks with deadlines, durations and priorities, and Motion places them into open time on your calendar, moving them when meetings appear or work runs late. Around that core it now offers AI chat, AI docs and notes, a meeting notetaker, booking links, workflows for repeatable projects and dashboards. The auto-scheduling itself runs on Motion's own algorithms; the chat, writing and notes features call models from OpenAI, Anthropic and Google, according to its security page.

There are two published plans, billed per seat. Pro AI is listed at $19 per seat a month with 7,500 AI credits, and Business AI at $29 with 15,000 credits plus capacity planning, Gantt charts, time tracking and permissions. The pricing page says annual billing saves 33% but does not say whether the listed figures are the monthly or annual rate. It quotes credit rates of 25 cents per 100 on Pro and 19 cents on Business.

There is no free plan, only a free trial whose length the pricing page does not state. Motion is made by NexusBird, Inc.

Our review

Motion's scheduling engine is still the reason to buy it. Every task gets a slot on the calendar, and the plan rebuilds itself when a meeting lands or a job overruns. For a manager with forty open tasks and a calendar that changes hourly, that removes a daily planning chore that no to-do list touches. The catch is that it only works if the tasks live in Motion, not in Asana, Jira or Todoist.

The product has grown into an all-in-one work app, and the breadth is uneven. Docs, chat and a notetaker are now metered in AI credits (7,500 a month on Pro, 15,000 on Business), and each competes with a dedicated tool that does the job better. The useful split is narrower: Gantt charts, capacity planning and time tracking sit only on Business AI at $29 a seat, so a team that wants the project view pays the higher rate for everyone.

The security page is clear on the essentials. Motion holds a SOC 2 Type II report, says it does not train models on customer data and that its model providers do not either, and stores everything on Google Cloud in Iowa with no option for EU-only storage. European teams with data-residency rules should stop there. The page does not mention customer SSO, and prompts sent to AI providers are kept for a period it calls strictly limited without giving a number.

Engineers should look at the API before promising integrations. The documented rate limit is 12 requests a minute for individuals and up to 120 for teams on request, authentication is a static API key, and a July 2026 ZoomInfo review found no calendar, scheduling or webhook endpoints. You can push tasks in; you cannot drive the scheduler from outside.

Reclaim.ai is the obvious comparison. It sits on top of an existing Google or Outlook calendar, reads tasks from the tools a team already uses, and has a free tier. Motion asks for a bigger move and charges more for it, and the return on that move is a scheduler that understands projects, dependencies and team capacity rather than only one person's week.

Where it earns its place

  • An agency account director running 12 client projects with shared deadlines

Stop rebuilding the week by hand every time a client call moves

Tasks carry durations and due dates; Motion re-slots them when meetings shift and flags work that will miss its deadline. Pro AI at $19 a seat covers one person; the Gantt and capacity views need Business AI at $29.

  • A 20-person product team moving off Asana

See who is overloaded before a launch, not after

Business AI's capacity planning and timeline views show workload per person. At the listed $29 a seat that is $580 a month, and it means migrating every project and task into Motion, because the scheduler only plans what it holds.

  • An operations engineer wiring Motion into a ticketing system

Create Motion tasks automatically from new support escalations

The v1 REST API accepts tasks and projects with an X-API-Key header. Budget for the 12 requests a minute default and back off on 429 errors; there are no webhooks, so status changes have to be polled.

Before you commit

Setup
Sign up for the trial, connect Google, Outlook or iCloud calendars with read and write access, then add tasks with durations and deadlines; each workspace member connects their own calendars.
Integrations
Google Calendar, Outlook, iCloud, Zoom, Google Meet, Microsoft Teams and Gmail; Zapier and a v1 REST API for tasks and projects, with no official SDKs or webhooks.
Data and privacy
SOC 2 Type II audited by Prescient Assurance; data on Google Cloud in Iowa with no EU-only option; no training on customer data by Motion or its LLM providers (OpenAI, Anthropic, Google).
Cost at scale
A 20-person team on Business AI pays $580 a month at the listed $29 a seat, though the pricing page does not say whether that is the monthly or annual rate. It shows 19 cents per 100 credits on Business without saying what extra credits cost.
Limits
API: 12 requests a minute for individuals, up to 120 for teams on request, more on enterprise; no calendar or scheduling endpoints, and Motion no longer copies events between calendars.
