What it is
Google bundles Gemini AI into its Workspace business plans rather than selling it as an add-on, a change it made in January 2025 when it folded the old $20-a-user Gemini add-on into the base price. Depending on the plan, Gemini drafts and summarises email in Gmail, writes in Docs, builds formulas and charts in Sheets, makes slides, takes notes and translates in Meet, and makes videos in Vids. Every plan also includes the Gemini app, Gemini Notebook (formerly NotebookLM) for research on your own sources, and Workspace Studio for building agents that automate tasks.
On the lowest plan, Business Starter, Gemini in the core apps is limited: it works in Gmail and Vids, with basic access to the Gemini app and Notebook. Business Standard and above add Gemini in Docs, Sheets, Slides, Drive and Chat, Meet notes, Google's most capable models and higher Notebook limits. An AI Expanded Access add-on is sold separately at a price Google does not list.
Business plans are capped at 300 users; larger organisations move to Enterprise, priced by sales. Google is advertising introductory discounts to new customers on up to 20 users.
Our review
Gemini in Workspace wins on procurement more than on capability. Since January 2025 the AI has been part of the plan, so a team on Business Standard at $14 per user per month gets Gemini in Docs, Sheets, Slides, Meet and Drive without a second licence. Before that change the same team paid $12 for Workspace plus $20 for the Gemini add-on. Microsoft's mix of seats and credits is harder to forecast by comparison.
The bottom tier is where buyers get caught. Business Starter's Gemini in the core apps is marked limited on Google's own comparison: Gmail and Vids work, Docs and Meet notes do not, and Notebook allows 3 audio overviews a day against 20 on higher plans. Any team that wants meeting notes or help in documents needs Standard, which doubles the per-seat price.
The security story is strong for the main apps and weaker at the edges. Google says Workspace content is not used to train models or reviewed by humans outside your domain without permission, and Gemini in the apps holds SOC 1, 2 and 3, ISO 27001 and 42001 and FedRAMP High authorisation. Admins set retention from 90 days to indefinite for in-app prompts, and Gemini app chats delete after 18 months by default. Gemini Notebook is the exception. It is outside those ISO, SOC and FedRAMP scopes and the HIPAA BAA, it is not integrated with Workspace DLP, and files added from Drive are copied out of Drive where your data-region settings no longer apply.
In daily use Gemini is solid for email drafts, meeting notes and summarising Drive files, and Notebook is one of the better tools for questioning your own documents. Users report that Sheets and Slides help is less dependable on complex work than a standalone chatbot, and Workspace Studio agents are young next to Zapier or n8n. The quieter risk sits outside the licence. Staff who paste work into Gemini on a personal account fall under consumer terms, where Google says chats may be read by human reviewers and used to improve its products.
Where it earns its place
A 40-person accounting firm already on Gmail and Drive
Draft client emails and get notes from every Meet call
Business Standard at $14 per user per month on an annual plan covers Gemini in Gmail, Docs and Meet notes: $6,720 a year for 40 seats, with no separate AI licence. Starter would be half the price but leaves out Docs help and Meet notes.
A Workspace administrator at a 250-person healthcare provider
Turn on Gemini without breaking HIPAA or retention policy
Gemini in the apps can support HIPAA workloads under Google's BAA, and prompts can be retained from 90 days to indefinitely and searched in Vault. Gemini Notebook is not covered by the BAA and is not integrated with DLP, so it should be restricted for staff handling patient data.
An operations analyst at a 15-person agency
Research client briefs across a pile of PDFs and Drive files
Gemini Notebook on Standard gives 5 times the notebooks, queries and sources of Starter, and 20 audio overviews a day. Prompts are not kept after the session, but Drive files are copied into Notebook, so later permission changes in Drive do not follow them.
